Getting Started
3 questionsNavigate to the Properties section and click "Add New Property". Fill in all required fields including property details, location, and financial information. Make sure to upload high-quality photos to attract potential tenants.
Go to the Reservations section and click "Create New Reservation". Select the property, enter guest information, set check-in and check-out dates, and specify the nightly rate. The system will automatically calculate the total amount.
There are three user roles: Users (can create reservations and expenses), Managers (can view and manage all data), and Admins (full system access including user management and system settings).
Property Management
3 questionsFind the property in the Properties list and click "Edit". You can update all property details including rent amounts, status, and amenities. Changes are saved immediately.
You can change the property status in the property edit form, or use the quick status toggle button in the property list view. Available statuses include Available, Occupied, Under Maintenance, Under Renovation, and Inactive.
Yes, you can upload a primary image when creating/editing a property. Additional images can be managed through the property detail page using the image gallery feature.
Reservations & Bookings
3 questionsThe system automatically checks for date conflicts when creating or editing reservations. If dates overlap with existing bookings, you'll receive an error message. Use the availability checker before creating reservations.
Find the reservation in your dashboard or reservation list, and click "Check In" when the guest arrives. This updates the reservation status and tracks the actual check-in time.
You can cancel a reservation from the reservation detail page. Add a cancellation reason for record-keeping. Cancelled reservations free up the property for other bookings.
Expense Tracking
3 questionsGo to Expenses and click "Record New Expense". Select the property, category, enter the amount and description. Upload receipts when possible. All expenses require approval from managers or admins.
Categories include Cleaning & Housekeeping, Repairs & Maintenance, Utilities, Supplies & Equipment, Landscaping, Insurance, Property Taxes, Marketing, Legal & Professional, Property Improvements, Technology, and Other.
After recording an expense, it appears as "Pending Approval". Managers and admins can review and approve or reject expenses. Only approved expenses appear in financial reports and calculations.
Payment Management
3 questionsNavigate to Payments and click "Record Payment". Select the reservation, enter payment details including amount, method, and reference number. Payments require verification by managers or admins.
The system supports Cash, Mobile Money, Bank Transfer, Check, Credit Card, and Other payment methods. Each payment can include a reference number for tracking.
Recorded payments start as "Pending Verification". Managers and admins can verify payments after confirming receipt. Only verified payments count toward reservation payment status.
Reports & Analytics
3 questionsThe dashboard provides overview reports including occupancy rates, revenue trends, expense breakdowns, and property performance. Each module also has detailed reporting features.
Yes, most data can be exported to CSV format for external analysis. Look for "Export" buttons in list views for reservations, expenses, and payments.
Dashboard data updates in real-time as you add or modify records. The system also auto-refreshes every 5 minutes to ensure you see the latest information.
